Customer data is backed up every 24 hours to a separate region and retained for 35 days. Recovery is tested quarterly, with a recovery point objective of 24 hours and a recovery time objective of 4 hours.

The problem

You have answered this question before. Finding it is the hard part.

Every RFP repeats most of the last one. But the right answer is buried in a spreadsheet from last spring, the wording has drifted, and the final document still has to be retyped into the buyer's template.

🗂

"We answered this exact question last quarter. Where is that answer?"

⏳

"Copying 150 answers into the buyer's template takes a full day."

⚠️

"We nearly sent one customer's name to another."

🚫

"AI tools make up answers. We can only send what we have approved."

How it works

From their RFP to their file, in four steps

Every step is traceable. Every answer is sourced. Nothing ships until a person has approved it.

01Load your library

Add past RFP responses to ATLAS Mind. ATLAS reads every question and answer directly from the columns of your Excel files, Word documents, and PDFs.

02Upload their RFP

PDF, Word, or Excel. Every question is laid out in the buyer's order, under the buyer's own section headings, exactly as they sent it.

03Answer and review

One click fills every question your library covers. Search by meaning for the rest, flag a question for an expert, and have a reviewer approve each answer.

04Send their file back

Download the buyer's own spreadsheet or Word document with your answers written in, or export a branded PDF or Word response.

What you get

Faster answers you can stand behind

Every answer is traceable to a person and a document, and nothing leaves until every question is settled.

01Search by meaning

Find the answer, however they asked

ATLAS matches the question to approved answers by meaning, not keywords. Each result shows where it came from, who added it, and how often it has been reused.

Search

"how often do you back up our data"

Strong match

Describe your data backup and recovery process.

added by J. Rivera · reused 14 times

02One-click fill

Answer everything your library already covers

"Answer all from library" fills every question with a strong match and leaves the rest for a person, so nothing is guessed and nothing ships blank.

Your approved words, unchanged

Answers go in exactly as your team approved them. When you need it, ATLAS can tailor one answer to this customer without adding facts, and you review it first.

04Wrong-name guard

Never send one customer's name to another

ATLAS knows which customer each answer was written for. If an answer still names someone else, it is held until you edit it or choose to keep the name.

Needs attention

Names Contoso, a customer your library answers were written for, not this one.

05Risk grading

Review before it ships, riskiest first

Assign an owner and a reviewer, flag a question for a colleague, and grade every answer so the weakest are reviewed first. Nothing exports until every question is settled.

Built for trust

Speed is only useful if you can send it

Most AI RFP tools write answers. ATLAS reuses the answers your team already approved, and makes sure nothing goes out unfinished.

✓Exact language by default

Library answers go in word for word, labelled with their source document and author.

✓Blank beats a guess

Questions without a strong library match stay blank for a person to answer. ATLAS never invents an answer.

✓Every question settled

No download until each question has an approved answer or a deliberate "No response" decision.

✓The library grows with you

Add a new approved answer to your library in one click, saved with your name and the date.

Formats

What goes in, and what comes back

ATLAS reads whatever format your buyers and your library use, and returns the file in the format the buyer expects.

In ATLAS Mind

Your answer library lives in ATLAS Mind alongside the rest of your company knowledge, so every team can contribute and search.

Shared with your team

Owners, reviewers, and subject-matter experts all work in the same response. No email chains, no spreadsheet versions.

A record you can audit

Every answer shows who approved it, when, and which source document it came from. Nothing is anonymous.

Questions buyers ask

Frequently asked questions about ATLAS RFP Response

Does ATLAS write our answers with AI?

No. Answers come from responses your team has already approved and are inserted word for word. If you switch it on, ATLAS can reword an approved answer for a specific customer, and a person reviews it before it is saved.

What file formats can we upload?

For your library: Excel, CSV, Word, PDF, and text. For a new RFP: PDF, Word (.docx), Excel, CSV, text, or pasted text, up to 25 MB.

Can we send the buyer back their own file?

Yes, for Excel (.xlsx) and Word (.docx) RFPs. ATLAS writes each approved answer into the buyer's file and leaves their formatting as it was. Any RFP can also be exported as a branded PDF or Word response.

What happens to questions the library cannot answer?

They stay blank and are marked for a person. ATLAS only fills a question automatically when the match is strong.

How do we stop an old customer's name ending up in a new response?

ATLAS knows which customer each library answer was written for. An answer that names another customer is held as "Needs attention" until someone edits it or chooses to keep the name.

Do we need to reformat our old responses first?

No. Add them as they are. ATLAS reads spreadsheet columns directly, finds question and answer pairs in Word and PDF documents, and shows you how each file was read.

Can more than one person work on a response?

Yes. Each response has an owner and a reviewer. You can flag any question for a colleague with a note, and only the reviewer or an admin can approve.

Where does it live?

On the Opportunity in ATLAS, beside the account, the notes, and the rest of your sales work. Your answer library lives in ATLAS Mind, alongside the rest of your company knowledge.
